  1. 1. Travel Costs

    We are proud to offer nationwide coverage, with the ability to film at any location across the UK, subject to express written consent from the property owner or relevant authority. To provide added value and help minimise expenses, each project includes up to 50 miles of complimentary travel. For locations beyond this allowance, travel and mileage costs will be assessed and agreed upon on a case-by-case basis.

  2. 2. Multiple Locations

    Our basic pricing includes one filming location. Should you require filming at two or more locations, please note that express permission must be obtained for each additional location. Furthermore, additional travel and set-up charges will apply. These charges will be determined on a case-by-case basis and will be discussed and agreed upon prior to any filming.

  3. 3. Set-Up Considerations

    While we make every effort to accommodate your preferred filming location, please note that certain factors may prevent us from setting up in the exact spot desired. These factors may include, but are not limited to, light interference, noise disturbances, or insufficient space for our equipment. We will always strive to fulfil your requests to the best of our abilities, but please be aware that it may not always be possible to do so. In such cases, we will work with you to find the best alternative location that meets your needs and our technical requirements.

  4. 4. Day of Filming

    To ensure a smooth and efficient filming process, it is essential that our team has access to the filming location at least 30 minutes prior to the scheduled start time. This time is necessary for setting up equipment, conducting sound and light checks, and performing general safety assessments. If this pre-filming access is not possible, please be aware that it may impact the overall filming time and potentially affect the final product. Your cooperation and understanding in this matter are greatly appreciated.

  5. 5. B-Roll Footage

    As part of our standard package, we include the collection of B-roll footage to be incorporated into your interview edit. This footage will amount to 15 minutes of raw footage, with the content and focus to be discussed and agreed upon prior to filming. Should you require additional B-roll footage beyond the 15 minutes included in our standard package, please note that additional costs will be incurred. These costs will be discussed with you beforehand, ensuring that you are fully informed of the associated charges.

  6. 6. Music Licensing

    For any music included in your video that is obtained from a stock library, it is essential that the usage adheres to the terms and conditions specified by the respective library. This may include usage rights, attribution requirements, and any other stipulations outlined in the licensing agreement.

    In the event that you request a commercial track to be featured in your video, it is your responsibility to secure the necessary permissions and licensing rights from the copyright holder. Please note that Evermore Video Portraits cannot be held accountable for any unauthorised use of commercial tracks or any legal disputes that may arise from such usage. To ensure that your video remains in compliance with copyright law, we strongly recommend that you carefully review and adhere to the licensing terms and conditions for any music used in your project.   7. 7. Interviewees Under 16

    To conduct interviews with individuals under the age of 16, it is necessary to obtain prior written authorisation from their parent or legal guardian.

  8. 8. Editing & Amends

    We provide two sets of amendments for your video at no additional charge. After the initial two sets of amendments, a small fee will be charged per hour for additional changes.

  9. 9. Deposit and Payment

    Before any filming commences, a 25% deposit is required. This deposit is fully refundable up until 24 hours before the scheduled filming date. Beyond this timeframe, the deposit is no longer eligible for refund.

  10. 10. Ownership of Footage

    It is important to note that all footage captured during the project remains the sole property of Evermore Video Portraits until the final payment has been received and processed.

  11. 11. Privacy of Video Content

    We understand that the confidentiality and privacy of your video content are of paramount importance. Therefore, we take extra measures to ensure that your footage is kept confidential and only shared with authorised parties. We guarantee that your video will not be disseminated to any third party without your express permission, and we will implement appropriate safeguards to protect the integrity and privacy of your content throughout the filming and editing process. Your trust in our professionalism and commitment to confidentiality is highly valued.

  12. 12. Delivery of Final Video

    Our standard package includes a digital transfer of the final video product. However, should you prefer a USB or Video Book option, this can be arranged upon advance payment.

  13. 13. Loss of USBs in Transit:

    In the event that a USB containing your final video product is lost during transit, it is imperative that you report this loss to us within 48 hours of the expected delivery date. Failure to notify us within this timeframe will result in additional costs for the resupply and redelivery of your video.

  14. 14. Video Book Option

    If you opt for the video book option, it is important to note that full payment is required upfront. Furthermore, please be advised that there is a minimum wait time of two weeks for delivery of the video book.

  15. 15. Recommendations

    As a token of our appreciation, we offer a £25 voucher* for each successful referral that results in a confirmed and fully paid Evermore Video Portraits project. Please note that only one voucher will be issued per referral. (Please contact us for voucher details).

  16. 16. Back-Up

    In order to provide you with peace of mind, we will maintain a back-up copy of your final delivered video for a period of one year following the completion of your project. Should you require us to retain your files beyond this initial year, please note that there will be an additional charge for each subsequent year of storage. For more detailed information regarding our back-up retention policies and associated costs, please don’t hesitate to contact us.

  17. 17. Loss of Videos

    We take all necessary measures to ensure that your footage is backed up and kept secure. However, despite our best efforts, there is a small possibility that unforeseen events, such as loss or theft, may occur. In the unfortunate event that your footage is lost or stolen, you will be reimbursed 50% of your total invoice. We understand that this may not fully compensate for the loss of your footage, but we hope that it demonstrates our commitment to providing a fair and transparent service.

  18. 18. Branding and Copyright

    We make every effort to avoid including copyrighted or branded materials in our footage. However, it remains your responsibility to ensure that any brands, patterns, or colors that may be captured during filming are covered or excluded, in order to prevent any potential copyright infringement issues. Please take all necessary precautions to protect your interests and ensure that your video content does not violate any intellectual property rights.

  19. 19. Behaviour Towards Staff

    We value the safety and wellbeing of our staff members above all else. As such, we maintain a strict zero-tolerance policy towards any form of aggression, intimidation, or threatening behaviour directed towards our personnel. If such behaviour is observed, we reserve the right to cancel the project immediately, and no refund of any monies paid will be provided. We ask that all parties involved in the project maintain a respectful and professional demeanour throughout our collaboration.

  20. 20. Liability

    Evermore Video Portraits is not liable for any delays or issues arising from circumstances beyond our control, including but not limited to adverse weather, technical failures, or unforeseen emergencies. Clients must ensure that the filming location is safe and suitable for the crew and equipment.

  21. 21. Copyright and Usage Rights

    Evermore Video Portraits retains copyright ownership of all video footage until full payment is received. Upon final payment, clients are granted a license to use the final video for personal or agreed-upon purposes. Any modifications or redistribution of the video beyond the agreed terms require prior written permission from Evermore Video Portraits.

  22. 22. Data Protection and Privacy

    All personal data collected during the course of this project will be handled in accordance with Evermore Video Portraits privacy policy and applicable data protection laws. Footage and personal information will not be shared with third parties unless explicitly agreed upon in writing.

  23. 23. Cancellations and Rescheduling

    Any cancellations or rescheduling must be communicated in writing. If rescheduling is requested less than 24 hours before filming, additional fees may apply.

    Any damages to equipment caused by the client or their invitees during filming will be charged to the client.
